Participation in the "My History" program requires personal involvement on the part of the contributors and the ability to link the historical evidence to the history of family or community from which it originates. It is obvious that in the case of photographs that portray persons or in the case of personal documents, offering them must not go against their will or offend their personality and public image. In the case of texts or past publications it is desirable to avoid personal insults or offensive aspects. Should the publication of personal details cause tension or litigations, or where the consent of all mentioned parties has not been secured, the name and other personal details (address etc) that might reveal the identity of persons are covered with an electronic tape.

In all cases, the contributor of data is responsible for its correctness and for the correct publication of it. The contributors are able to submit the evidence via the Internet from the appropriate page "Submit evidence" after they have completed their personal details and a comprehensive caption on the piece of evidence.

The caption must inform on the background of the evidence, the persons, or the institutions the evidence refers to, the year it was created, its whereabouts up until its publication and a comment on its meaning and importance and its relation to the special issue of refugee displacement and settlement.

The pieces of evidence can either be temporarily submitted in their original form -not in photocopies or reproductions- in order to be digitally copied by the employees of the FHW and returned to their owners, or be digitally copied -scanned or photographed with a digital camera- and be sent to the FHW in an optical disk, or be submitted in electronic form through the "Submit Evidence" page.

Evidence is digitally copied in TIFF files at a resolution of 300 dpi, in actual size (100%) or magnified (by 100-200%) depending on the dimensions of the original object (for example, an identity card photo when scanned can be magnified by 200% ).

On our webpages, photos are presented as JPEG files in three different sizes which allow them to be displayed on our website as thumbnails, photos with captions and as single photos.

It is desirable that the interview that complements the evidence or the text submitted is also in digital form; otherwise it has to be digitalized by the FHW. Audio interviews are saved as WMA files and are uploaded as MP3 files, while their text as well as the autobiographical texts or comments of the contributors are processed in an Open Office processor and MSWord application and are displayed as PDF files. The interview transcripts and the comments are checked for spelling and syntax and any repetitions, hesitations and other noises are edited. When autobiographies and written texts are published the original spelling is maintained.

In the "Genealogy" and "Testimonies" project, and even more so in the "My History" project, the written consent for the submission of the digital copy to the project is necessary and must be obtained from the legal statement page.
